Wine Club Automated Processing

Built in Credit Card Processing ~ Batch process stored credit card numbers. No other software needed!

Create one order and assign it to an entire wine club automatically calculating the correct shipping charge and sales tax by state for each wine club member.

VinCLUB will warn you for potential problems such as no credit card and expired cards or missing ship-to address before you start your wine club process.

At a glance see how many orders did not receive payment due to credit cards being declined.  Easily send them a post card or email from within VinCLUB.

VinCLUB allows you to reprocess batch orders with a single click for a wine club so it can attempt to charge all un-paid invoices due to previously declined or missing credit cards.

You can batch void any unpaid wine club orders. This may be useful where you have many invalid credit cards and you have been unable to resolve the problem with the customer.

You can choose to print invoices and or packing slips by order disposition such as those for members that are  "hold for pickup",  “to be shipped” and  “hold for payment” for the entire club run. You may also choose to print for other selection criteria such as only those for a particular state.

Add a member to a wine club or multiple wine clubs as easy as you would sell a bottle of wine!

Members may be in as many wine clubs as they like, each club with a separate set of rules. You can even use a different credit card on file for each club!  All in the same customer record!

Gift memberships are easily and automatically managed allowing you to specify the number of shipments, set an expiration date or lifetime membership.  You will even know the minute a gift membership has expired during a wine club run!

Members can pay in advance, putting money on their accounts that is recorded and reduced every time they get a shipment. This is perfect for those who do not want to leave a credit card on file or for “annual payment upfront” clubs.

Preference tracking for handling special request orders such as adding more wine to a shipment or “call before charging credit card”.

Send an email or invoice to declined credit card owners or hold for payment or hold for pickup orders. Send email to all members whose credit card will expire by the next shipment.  You can search for expirations as many days out as you wish.

Skip only the next shipment for a member or put a shipment on hold for a specified date range. VinCLUB can even skip specified months each year, very useful for skipping summer shipments to hot areas.

For duplicate customer entries you can merge one customer with another automatically combining notes and order history.

Print labels for billing, shipping, or mailing addresses for customers meeting your specific search criteria.  

Loyalty/Membership Cards

Wine club membership cards instantly identify members and give them a feeling of entitlement and belonging to the winery. With the VinCLUB and CI Solutions alliance, your customers will have something personal they can hold on to.

Print a membership card in a matter of seconds from one customer record or based on a list of customers.
VinCLUB will print your winery information, their name, their wine club and member since date, even their picture if you wish! 

Reporting

Within VinCLUB many reports may be run and displayed instead of directly printing out, allowing you to work with the results while saving a tree at the same time.

A credit card expiration report may be run to see if any cards have expired or will expire before you run your wine club.

Wine club report shows you the history of each order, amount collected and number of orders.

“Shipping status report” will show you the total UPS charges, with a breakdown for each customer with transportation and options charges.

Wine club summary report will show your total members, total gift members, total shipments, payments and much, much more.

Wine club membership by month report displays the number of beginning members, new members, cancelled members, ending members and more for any or all months and clubs.

See your members wine club purchase history, current club order status like hold for pick up, hold for payment or orders to be shipped, favorite varietal, everything about their club(s).

With just a couple of clicks all your labels start printing. Any errors in addresses are quickly flagged by UPS for easy label editing and with one click you can update the customer record for future shipments.

Once your wine has shipped, you can check its status via UPS Tracking from within VinCLUB! As the label is being created our UPS integration can also send the customer the tracking number. In addition, it can notify you of delivery exceptions.

VinCLUB includes VinNOW's complete eCommerce Integration!

Using one of the authorized web shopping cart providers you will be able to have your new products go automatically up to the shopping cart. Customer information address and order information is sent down from the web cart to VinCLUB.

FREE Kiosk data collection software

Designed to run on a computer and let the customer enter their name address and other information themselves. Build your email or mailing lists. Validate the data then upload to VinNOW. May run on a stand-alone computer.
